Billing: Understanding Charges, Invoices, and Subscription Management

This article explains how billing works, how to access your invoices, and what to do if you have questions about charges or payment methods.

To protect your account, Billing access is restricted to Workspace Owners. Only Workspace Owners can view invoices, update payment methods, or make subscription changes.

If you are not a Workspace Owner, please contact the owner of your workspace to request assistance or elevated access.


Accessing Billing

Who can access billing information?

For security and account integrity:

  • Only Workspace Owners can access the Billing page

  • Owners can view invoices, payment methods, subscription details, and charges

  • Admins and Members do not have billing access by default

If you need billing access, your Workspace Owner can adjust your role or provide the required documents on your behalf.


Invoices

How to access your invoices

Workspace Owners can download invoices directly:

  1. Go to Settings β†’ Billing

  2. Select Invoices

  3. Download the PDF you need

If you’re not a workspace owner, please ask your owner to download the invoice for you or provide temporary access if appropriate.


Understanding Charges

Subscription charges

These include your monthly or yearly plan and any add-ons.

Usage-based charges

Some services incur usage fees (such as messages, conversations, or phone numbers). These appear as separate line items on your invoice.

Why charges vary

Your invoice may change if:

  • Your plan changed

  • You added/removed users or resources

  • Usage increased

  • You switched between monthly/yearly billing

Workspace Owners can review line items directly in the billing dashboard.


Updating Your Payment Method

Only the Workspace Owner can update the payment method:

  1. Go to Settings β†’ Billing

  2. Select Update Payment Method

  3. Enter new card details

If a card fails, possible reasons include:

  • Bank restrictions

  • 3-D Secure failure

  • Expired card

  • International payments not enabled


Subscription Management

Upgrading

Upgrades take effect immediately and may result in prorated charges.

Downgrading

Downgrades take effect at the end of your billing cycle.

Canceling

Cancellation is performed by the Workspace Owner:

  1. Go to Settings β†’ Billing β†’ Cancel Subscription

  2. Follow the instructions

    You keep access until your current cycle ends.


Refunds

Refunds are evaluated case by case. We can assist with:

  • Duplicate charges

  • Billing system errors

  • Charges after cancellation

To request review, provide:

  • Charge date

  • Amount

  • Last 4 digits of the card

Note: Only the Workspace Owner will receive billing-related follow-ups.


Tax Documentation

If you need tax forms (W-9, VAT invoice, etc.), contact support with:

  • Business name

  • Registered address

  • Tax ID (if applicable)

Workspace Owners must usually approve changes to tax or legal information.


If you have further questions, please contact support. For security reasons, some requests may require confirmation from your Workspace Owner.
